Hiring Agreement and Terms & Conditions

By proceeding with payment to Raire Photo Booth, you acknowledge and accept the following Terms & Conditions.

Initial Payment, Fees, and Cancellation Charges:

To secure your booking with Raire Photo Booth, an initial payment of $300 is required. This non-refundable deposit reflects the work invested in preparation and secures your event date. In the event of cancellation due to unforeseen circumstances, we offer the option to reschedule, subject to availability.

The remaining balance for your booking is due a month before the event date. Failure to make full payment within this timeframe will result in the forfeiture of the initial deposit and cancellation of the booking. For events booked on short notice, full non-refundable payment is required within 24 hours to secure the booking.

Cancellations must be communicated directly to us via email; all payments made are non-refundable. If you cancel more than 10 days before your event, any payments you've made can be credited towards a new booking. Credit must be used for another event within 12 months from cancelled date.

Venue, Access, Location, and Staff:

It is your responsibility to ensure the venue provides contact information, address, and postcode for our setup team. We will send you an email requesting for this information which you can forward to the venue manager/staff. Adequate access for loading and parking (if applicable) must be arranged. Failure to provide accurate details may result in delays or errors.

Space Requirements:

Our photo booths require a minimum area of 2m x 2m and a height of 2 metres for backdrops.

Props:

Props are included by default. To ensure the smooth running of our services, props must be returned in their original condition. Damages incurred may result in additional charges.

Events Beyond Our Control:

Raire Photo Booth cannot be held responsible for circumstances preventing attendance, such as severe weather, traffic delays, vehicle breakdowns, or equipment failure caused by guests and/or venue. In such cases, our liability is limited to refunding all payments made.

Set-up of Services:

We will arrive approximately 90 minutes before the hire period begins. Additional idle time incurs extra charges. Access and space must be provided for setup, including a power socket within 5 meters.

Backdrops:

Backdrops must be set up against a wall or solid surface to prevent toppling.

Hire Period:

The hire period is as agreed upon before booking. Setup and pack-down times are included in the package and do not affect operational hours unless due to technical issues.

No Liability Accepted For:

Loss or damage to personal property and injury unless due to proven negligence. We have valid Public Liability Insurance which can be provided upon request.

Termination of Hire:

We reserve the right to terminate hire in case of abuse or unruly behavior toward our staff or equipment. No refund is payable in such instances.

Release of Images:

Unless otherwise agreed, we retain the right to use images for marketing and advertising purposes. Digital copies are provided post-event.

Delivery Fee:

For events located beyond the Sydney Metro area, exceeding 30km from Parramatta CBD, a travel fee will be added to cover transportation costs. Extended waiting periods during the event may result in an idle fee to compensate for additional time.

Surcharges:

On NSW public holidays and dates between December 24th and January 2nd, a surcharge of 15% will be applied to the total booking cost.

Late Payment Fee:

Late payments will incur late payment fees of $15 per day from payment due date until resolved.

Digital Copy of Images:

Upon completion of your event, please allow up to 10 days to receive the digital copy of the photobooth photos. These images will be delivered to you via a secure download link sent to your email address, and they will also be accessible on the gallery page. We advise promptly downloading your photos upon receiving the link, as they will only be available for download for a period of 90 days.

Please note that we do not alter, edit, or selectively curate the photo gallery or individual images captured by the photobooth. All images captured during your event will be included in the digital gallery provided to you. It is your responsibility to inform your event attendees of appropriate behavior regarding the use and distribution of these digital images.

Additionally, please ensure all outstanding invoices or payments are settled prior to receiving the download link for the digital images.
